The year is 2016. I’m about to run my first (non-video) webinar on WebEx.
It’s about 1GB fibre connectivity. How dull.
The platform itself is clunky—unusable for anyone who’s spent time in the 21st century.
A lot has changed in nine years. Including the spelling of WebEx. It’s now Webex.
That’s not all that’s changed though.
Today, we see Webex with a modern interface, a masterful admin center, and a powerhouse contact center.
The Webex of 2025 barely resembles the WebEx of yesteryear. And that’s a great thing.
Let’s break it down—successes, setbacks, surprises, and all.
Webex in Numbers: Usage and Growth
Let’s start with the headline figure: 650 million monthly meeting participants.
It’s not just meetings, either.
Webex now hosts a record eight billion monthly calls, making it the largest cloud calling provider globally (post-acquisition of BroadSoft.)
The numbers tell a story of quiet resurgence. While Microsoft Teams grabbed headlines during the pandemic, Webex has since been steadily building its user base and expanding its reach.
With 39 million cloud calling users and coverage in 65+ countries, Webex has established itself as a formidable force in the enterprise collaboration space.
The webinar side of the business remains healthy, too. 70 million webinar attendees use Webex across 1.3 million webinars.
The New Webex Experience: 2024–2025 Feature Highlights
Cisco has been relentless in its innovation cycle. The past 18 months have seen some of the most significant advances since the platform’s rebirth under Cisco’s ownership.
AI-Powered Collaboration Revolution
It didn’t take long to get to the A-word, did it?
The 2025 update transformed how users interact with Webex through the Cisco AI Assistant (also known as Webex Copilot). This “chatbot” style assistant is integrated across meetings, calling, and contact center operations.
- Meeting Intelligence: You get real-time transcription, automated note-taking, and intelligent summaries. The system can identify different speakers in meeting rooms and generate accurate action items.
- Calling Enhancements: Webex Calling users can view call summaries and action items during live calls or after completion. When transferring calls, agents can forward AI-generated summaries to new recipients.
- Webex AI Agent and Autonomous Customer Service: This autonomous agent can handle customer inquiries across voice and digital channels with natural language processing.
The AI Agent supports both scripted and autonomous modes:
- Scripted agents use conventional machine learning for predictable interactions.
- Autonomous agents leverage large language models for dynamic conversations.
Advanced Device Integration
The Cisco Ceiling Microphone Pro represents a breakthrough in meeting room audio. It claims to be the first adaptive AI ceiling microphone, featuring eight adaptive beams that automatically focus on active speakers while blocking background noise.
Zero-touch configuration means setup takes minutes instead of hours. The microphone uses visual data from connected Cisco cameras to optimize sound pickup accuracy.
Enhanced Security and Compliance
Zero Trust Meetings with Video Mesh now provide on-premises meeting capabilities. Organizations can host completely private meetings without cloud connectivity while maintaining full Webex functionality.
Advanced data loss prevention (DLP) now extends to chat and channel messages, providing comprehensive protection across all communication channels.
Device Integration: Webex Everywhere, for Everyone
Webex devices have matured into a comprehensive ecosystem rather than simply pieces of kit.
The Room Kit EQX and Board Pro G2 deliver AI-enhanced video with speaker tracking and intelligent framing.
The Desk Pro transforms individual workspaces with its 4K 27-inch display and advanced noise canceling microphone array. Hot desking capabilities allow users to transform shared devices into personal workspaces for the day.
What’s particularly impressive is the companion mode setup, where Board and Room Series devices work together. One handles calls; the other manages whiteboarding and collaboration.
Device management has become significantly more streamlined. The rather impressive Control Hub provides unified management across all Webex devices with AI-powered diagnostics and troubleshooting.
Meetings: The Webex Foundation
When you think of modern day Webex, you think of large-scale meetings. Webex offers comprehensive meeting solutions spanning from quick ad-hoc calls to large-scale events supporting up to 100,000 simultaneous participants.
The platform’s real-time translation capabilities break down language barriers during global meetings. Closed captions and noise removal ensure inclusive participation regardless of environment or accessibility needs.
Webex Events and Webinars have seen substantial improvements, too. The platform now supports comprehensive hybrid events from internal training sessions to industry conferences.
Video Clips enable teams to record and share video messages directly in conversations. This supports modern asynchronous work without the need to meet in real time. It’s like creating a Loom video in-platform.
AI and Copilot: The Intelligence Layer
Unlike Microsoft’s Copilot, which feels bolted-on, Webex’s AI feels native. The Cisco AI Assistant is embedded throughout the platform, from meeting summarization to contact center operations.
Intelligent Speaker Identification ensures every voice is heard in conference rooms. The AI can distinguish between different speakers and dramatically improve transcript accuracy.
The AI system integrates with enterprise applications like Salesforce, ServiceNow, and Zendesk. Meeting summaries and action items can be automatically shared across third-party platforms including Microsoft Teams and Slack.
Phone: Cloud Calling, Fixed Mobile Convergence, and Enterprise Telephony
Since the acquisition of BroadSoft in 2018, Webex Calling has emerged as a serious contender in the cloud telephony space. With 39 million cloud calling users and eight billion monthly calls, it’s processing more voice traffic than any other cloud provider.
The platform offers multiple connectivity options:
- Cisco Calling Plans: A fully managed, cloud-delivered PSTN service with integrated number provisioning, porting, and billing via Webex Control Hub.
- Cloud Connected PSTN: Direct SIP peering with certified third-party carriers for global call routing without on-premises hardware, supporting 65+ markets.
- Premises-based PSTN (Local Gateway): On-site SBC or CUBE deployment to connect existing PSTN or IP PBX to Webex Calling over secure SIP/TLS for hybrid and global coverage.
Webex Calling for Microsoft Teams
A strategic move has been Webex Calling integration with Microsoft Teams. Organizations can use Webex’s calling infrastructure while maintaining Teams as their front end for meetings, chat, and collaboration.
Fixed Mobile Convergence (FMC) through Webex Calling Mobile allows users’ mobile numbers to become their business numbers. This provides unified call history and seamless handoff between devices.
Contact Center: The Enterprise Powerhouse
If you’ve read any of my contact center posts that I write for Nextiva, you may have witnessed me banging on about how great the AI features are in Webex. In particular, I’m a huge fan of the Agent Reset component.
When agents are overwhelmed or overworked, Webex now detects they need a break and provides 60 seconds of personalized content, including music, photos, and videos. Working with Arianna Huffington’s company, Thrive, Webex is now looking after agents as well as customers.
Take a look at Arianna’s personal 60-second reset in the video below.
Webex Contact Center has experienced remarkable growth with 75% year-over-year increase in cloud contact center licenses and 50% growth in contact center customers.
Significantly, 30% of Webex Contact Center wins come from net new logos to Cisco, indicating the platform’s competitive strength beyond traditional Cisco customers.
AI-Powered Customer Experience
The Webex AI Agent helps businesses provide 24/7 automated assistance. Its chatbot agent can handle complex, multi-turn conversations with natural language understanding.
AI Assistant for Contact Center provides agents with real-time transcription, suggested responses, and automated summaries. The system can predict customer satisfaction and provide insights into common contact drivers.
Enterprise Analytics and Insights
One of the key selling points for platforms like Webex will always be that you can do everything in a single platform. There is no longer a need for a contact center business to buy third-party bolt-on tools for things like workforce management and quality monitoring.
Webex WFO Enterprise Analytics introduces AI-powered conversation analysis. Features include Auto Quality Management, Trending Topics, and Interaction Summaries to help contact centers identify performance trends and optimize operations.
Security, Compliance, and Administration
Enterprise security has become table stakes, and Webex delivers comprehensive protection:
- Zero Trust Architecture with Video Mesh enables completely on-premises meetings. Organizations can host meetings without any cloud connectivity while maintaining full Webex functionality.
- Advanced eDiscovery capabilities allow compliance officers to search through conversations, meetings, and content across the entire organization. The system maintains complete audit trails for regulatory compliance.
- Control Hub has evolved into a comprehensive management platform with AI-powered diagnostics and ThousandEyes integration. IT administrators can proactively identify and resolve quality issues before they impact users.
- The platform now supports multi-language compliance with automated content analysis and retention policies across different regions and regulatory requirements.
Community and Ecosystem: The Webex Network
Webex has cultivated a vibrant community through several programs:
- Webex Insider Advocates (formerly Webex Ambassadors) provides a loyalty program where users earn points for engagement and redeem exclusive rewards. Members gain early access to features and direct feedback channels to product teams.
- Webex Insider User Group connects over 23,000 professionals for product feedback and collaboration. This community directly influences product development and enhancement.
- Partner Ecosystem includes integrations with BasicOps, Beautiful.ai, and Alleo. The platform maintains over 100 industry-leading app integrations.
- The Webex Customer Awards celebrate innovative implementations across 14 categories, showcasing real-world success stories.
The Good, the Bad, and the User Reviews
The Good
Everything in Webex just feels more usable nowadays. As an impatient millennial, that’s the biggest compliment I can give.
Webex excels in enterprise-grade calling with superb audio quality and reliability. The AI integration feels native rather than bolted-on, providing genuine productivity improvements.
Device ecosystem must now be classed as unmatched. Competitors like Microsoft, Zoom, and Google simply don’t make their own devices. As a result, you get seamless integration across room systems, desk devices, and mobile applications. The security and compliance features meet the most stringent enterprise requirements.
Contact center capabilities must also be deemed industry-leading, with 75% growth in licenses and 95% customer satisfaction.
The Bad
Users report interface complexity compared to Zoom’s simplicity. The learning curve for new users can be steep, especially for organizations transitioning from simpler platforms. So, while I am excited by all the UI changes in Webex, other users remain nonplussed.
When you speak to customers (or even those simply considering Webes), they cite pricing transparency. If you want enterprise features, you must “talk to sales”.
Public Reviews
G2 consistently ranks Webex as a leader in webinar software and contact center solutions.
Trustpilot reviews are more mixed, with a 1.5-star average. Common complaints include contract terms, support responsiveness, and recent interface changes.
Reddit discussions reveal a divided user base. Government and enterprise users praise the security and reliability, while SMB users find it overly complex compared to alternatives.
I don’t think Webex minds this. It’s not trying to be Slack, after all.
Expert Voices: What the Analysts and Influencers Say
- Zeus Kerravala from ZK Research notes that Webex’s growth stems from “conversion of its massive enterprise contact center install base” but acknowledges the platform has “done a fantastic job getting to feature parity and invested heavily in AI”.
- G2 analysts consistently rank Webex as a leader in webinar software and contact center solutions. The platform received 426 Winter 2025 G2 awards across multiple categories.
- Forrester’s Total Economic Impact study shows Webex Contact Center delivers 304% ROI with payback in less than 6 months.
- Gartner recognizes Cisco as a 2025 Customers’ Choice for Contact Center as a Service, with 95% of customers giving the platform four- or five-star reviews.
The Road Ahead: What’s Next for Webex
Like nearly every UC/CC vendor today, Cisco’s roadmap focuses heavily on agentic AI and autonomous workflows. Webes is positioning itself as the foundation for AI-powered collaboration.
- Webex AI Agent Studio will enable organizations to create custom AI agents for specific use cases. This low-code/no-code platform democratizes AI automation across enterprises.
- Enhanced device intelligence will bring more AI capabilities to meeting rooms and personal devices. The Cisco Ceiling Microphone Pro represents just the beginning of AI-powered meeting room transformation.
- Deeper enterprise integration with platforms like ServiceNow, Salesforce, and Workday will position Webex as a comprehensive business communications platform.
- Global expansion continues with Webex Calling expanding to more countries and Contact Center adding more languages and regional capabilities.
Conclusion: Webex in 2025
Webex in 2025 represents a platform that has found its identity.
It’s not trying to be everything to everyone. It’s focused on being the best enterprise collaboration platform for organizations that need security, reliability, and advanced features.
The platform’s strength lies in its integrated ecosystem. When organizations commit to Webex, they get meetings, calling, contact center, and devices that work seamlessly together. And for marketing teams that love that word, seamlessly has always been the claim.
AI integration feels more mature than many competitors, embedded throughout the platform rather than feeling like an afterthought. The Cisco AI Assistant and Webex AI Agent represent genuine innovation in how AI can enhance human collaboration.
The community remains engaged and vocal, pushing Cisco to continuously improve. Unlike some platforms where the community feels corporate-driven, Webex super users genuinely seem invested in the platform’s success.
But Webex also faces real challenges:
- User interface complexity remains a barrier to adoption.
- Pricing transparency needs improvement.
- The mobile experience still lags behind mobile-first platforms.
Most critically, Webex needs to prove it can grow beyond its traditional enterprise base. The 30% net new logo rate in contact center suggests this is possible, but it requires consistent execution and continued innovation.
If you’re already in the Cisco ecosystem, Webex is compelling. If you need enterprise-grade calling, contact center, or security features, it’s worth serious consideration.
But if you’re a small business looking for the simplest video conferencing solution, you might want to look elsewhere. There are many standalone providers that don’t provide anywhere near as much complexity as Webex. That shouldn’t be a problem for Webex. Its market focus must be the higher end.
From a legacy collaboration tool to a modern, AI-powered communication platform, continued success depends on execution and the ability to simplify complexity without sacrificing enterprise capabilities.
The state of Webex in 2025? Ready for the enterprises that are ready for it.
